Inventory


Managing inventory is a one of the biggest task for any business, here we have developed a simple and easy to manage inventory management system in kool invoice, where you can add, receive delivery, view stock transaction history or even evaluate total inventory values you hold.

You can also automate by setting min order quantity level so that when that stock falls at that set level, it sends you an email telling you to place order with the respective supplier for more stocks. Beside, at any given time for any given stock item, you can tell the exact stock quantity you hold. This is because whenever an invoice is made the stock record is updated live.

It also has a stock transaction history feature, where you can view / print the report to see the detailed Stock in (purchased) and stock out (sold) of that item or items. The inventory system also supports, all units such as KG, Lit, Dozen, Pack, pair, each, etc

The Kool invoice has a built in Quotation management system where you can send quotes to your potential clients and then follow up the progress until confirmed. You can send your quotes to your clients directly from the system by email or print pdf file.

One other unique feature of the Kool Invoice is that it has a built in simple CRM so while negotiating with your clients you can keep record of all discussions within the CRM’s notepad and set next follow up date so that you never miss any sales opportunity. As it has a contact management built in, therefore you do not need to maintain a diary manually. The Kool Invoice has a feature to create invoice from Quotes by converting from the quote to an invoice, or you can create invoice directly from this module for your business. The invoice can be sent directly from the system instantly by email or print pdf file. As soon as invoice is posted and saved it automatically updates its sales ledger. So there are no manual entries needed.

If your business involed in selling a service which require recurring invoicing every month or in a specific time interval, then Kool invoice has a built in feature to set recurring billing which require setting once only. Once it is set for recurring billing the system will auto send its invoices on that set time. Which will not only saves time for your repeat invoicing but also make you organized which is very important for any business concern.

It also has a feature where when you write a cheque, it warns you if you do not have an enough funds in the account to cover the cheque you are issuing or if you have an overdraft facility with the bank the system will warns you if you are going over the limits.

This is very important for any business and especially important for small business owners to better manage their finance and also it helps you getting a proper cash flow management done well in advance.

The Kool Invoice has a comprehensive reporting feature such as aged debtor list, aged creditors list, sales summary reports, quotation summary reports, sales forecasts reports, stock valuation reports, Sales revenue reports, banking reports and many more.

Admin Management


The Kool invoice hosted software solution from BTS software is designed to work for any business types, as such it has given a generic admin control panel so that the subscriber can customize it to fit their own environment.

The admin panel enable you to create 4 different roles such as admin, manager, supervisor and user. Then to each user the subscriber / owner can customize its permissions like what he or she can see or edit or delete by simply selecting the respective modules.
